Planning Timeline: When to book your Vendors!

Wedding Planning can be so daunting! There are a million decisions and a million vendors to consider. It is SO hard to know how to prioritize and when you should be booking each vendor.

Here is a little guide to help you know the best order and timeline for booking each vendor.

 

Venue

Why first? Your venue will set the date, location and style of your wedding. All of this information is important for booking the rest of your vendors!

For reference: The French Farmhouse books dates up to two years in advance. 

When to book: 12-18 months before the wedding.

 

Planner/Coordinator

*reminder that the French Farmhouse requires you to have at least a day-off coordinator*

Why next? A wedding planner will help streamline the rest of the process and be able to guide you toward reliable vendors.

When to book: 12-16 months before the wedding.

 

Photographer and Videographer

Why now? Top photographers and videographers book quickly. These vendors are SO important for capturing your memories. They also won’t, typically, do more than one wedding a day. There are exceptions to this rule, as some photographers have a small, trusted team. However, unless you are booking a photo company, it is safe to assume that they will only allot one wedding per day.

When to book: 10-14 months before the wedding.

 

Caterer

Why now? The French Farmhouse does not have an in-house catering team, so booking now ensures they will have availability for your day. This will also allow time for tastings and menu planning!

When to book: 9-12 months before the wedding.

 

Entertainment (Band/DJ)

Why now? Entertainment often sets the vibe for your wedding day, and the best options book quickly. A DJ does so much more than just play music; they will emcee your event and spend a lot of time chatting to your guests. You want to be sure that you snag your favorite!

When to book: 8-12 months before the wedding.

 

Florist

Why now? Your floral design will rely a lot on your venue, style and other decor decisions. It is best to have those ironed out and to have an idea of what you are looking for before you book your florist.

When to book: 8-10 months before the wedding.

 

Hair and Makeup Artists

Why now? Top stylists, especially those specializing in weddings, can book months in advance. You will want to book the artists you want as quickly as possible!

When to book: 6-9 months before the wedding.

 

Rentals/Decor (if needed)

Why now? If you are adding specialty furniture, linens, or props, book early to ensure availability.

When to book: 6-8 months before the wedding.

 

Officiant

Why now? Some officiants book early, especially for popular wedding dates. If you know someone personally who you’d like to officiate, they will likely be more available. If you are hiring through a company, this is the perfect time to reach out!

When to book: 6-8 months before the wedding.

 

Cake/Dessert

Why now? Bakers usually take orders months in advance, especially for custom designs.

When to book: 4-6 months before the wedding.

 

Stationery

Why now? Order invitations early to allow time for design, printing and mailing. Sometimes, it will take more time than you anticipate because you will have edits and need to wait on turnaround time from your designer.

When to book: 4-6 months before the wedding.

 

Transportation

Why now? By this time, you will know if you have room in your budget for transportation and if you will be needing it for more than just the couple. Book vehicles for the couple, bridal party, and guests, if necessary.

When to book: 3-6 months before the wedding.

 

Favors and Final Touches

Why last? These can be planned closer to the date, depending on your budget and theme.

When to book: 1-3 months before the wedding.

A Little Snow | Jillian and John

We have such an insane (in the best way!) wedding for you today! Everyone, say “hello” to Jillian and John. They had the most beautiful wedding. Throughout this little story you mayyyy be noticing that the venue is completely covered in SNOW.

 

A Dusting of Snow

Everyone in Texas knows that it is not common to get legitimate, real-deal snow. But, that is exactly what we got the day before Jillian and John’s wedding. The most beautiful snow came in… and kept falling… and fell some more. To say we were shocked by the 10 inches we got at the venue is an understatement. And, to say Jillian and John were shocked is an even bigger understatement!

They were such troopers though. They came into the day rolling with the punches and did not let the snow change how happy they were to be getting married. It doesn’t hurt that the venue and chapel were breathtaking.

This sweet couple, their vendors and their friends and family braved the snowy roads and made Jillian and John’s wedding day everything they dreamed of.

 

Labor of Love

We cannot talk about this day without talking about the amazing community that made it happen! Our incredible owner, Mr. Steve, was up at 7 a.m. plowing the driveway and the concrete paths. Some of the venue’s neighbors trudged over and joined in to help bring Jillian and John’s day to life. They even plowed the road into the venue for guests to have easier access!

It was he most amazing sight to see, and we are so grateful that we have such an amazing community that helps bring our couple’s day to life!

Sweet as Can Be | Bailey and Chance

Happy 2025! We are so thrilled that we got to kick off 2025 with such a sweet couple! Everyone meet the new Mr. and Mrs. Reneau! Bailey and Chance had such a beautiful wedding right at the beginning of the month, and we gotta say- what a way to start the new year!

The Sweetest Girls

Bailey and Chance are such a sweet couple! From the second we met them, we couldn’t wait for their wedding day. Bailey and her two bridesmaids rolled in early in the day to get glammed (by the incredible Krista Ann) and were just as nice as they come!

Once the setup started and the details started rolling out, we really could not get enough. The linens, the candles and the dance floor! We haven’t seen many dance floors that are woodgrain and white checkerboard, and it looks incredible in the venue.

A touch that we *loved* was staging Bailey’s dress on a mannequin for photos! It was such a fun twist on the classic dress-hanging photos. Plus- her dress!! So unbelievable!

 

A Moment for the Florals

Now, to state the obvious… The florals for this wedding were out of this world! When we saw the Chapel all set up, our jaws hit the floor. The arrangements lining the aisle are so incredible. After their ceremony had wrapped up and they were named the new Mr. and Mrs. Reneau, all of the ceremony florals got repurposed for the reception.

This is such a great life hack and a great way to make sure you are getting all the use you can your of your florals.

Whimsical Florals | Madison and Brandon

Everyone, say hello to Mr. and Mrs. Creekpaum! Woohoo! Madison and Brandon are our couple for this blog, and you’re going to be OBSESSED with their florals and so many more aspects of their wedding. The details are unmatched!

 

Make it Your Own

Listen, we know how often brides are told that they should put their personalities into their wedding day decor. We also know that can be so much harder to do than it seems! We love that Madison and Brandon added fun and quirky touches that represent their relationship.

First, we need to take a moment for the film reel groom’s cake. WOW. *Almost* too pretty to eat… but too delicious not to. Another gorgeous, and yummy, touch is their seating chart. Brandon and Madison love boba tea, so this was a super fun way to incorporate their favorite treat that doubled as a favor for guests!

One of the most beautiful, and sentimental, things Madison did was sneak upstairs mid-reception Madison and change into her mom’s wedding dress! Her mom’s face when she came down said it all. What a special moment

A Moment for the Florals

We just cannot dive into this wedding without talking about the incredible florals. Madison and Brandon wanted a very whimsical and bright floral scheme and boy- they got it! Everywhere they could, they added florals. Starting with their ceremony arch, which was repurposed in the reception space. They did florals around their cake, on the DJ table (which was actually our second bar!!) and as an added show-stopper- they did an upside-down arrangement over the coffee bar. Can you believe how cool they look!?

Florals and Florals | Paola and Carlos

We cannot get over this wedding! Paola and Carlos had some of the most stunning florals and details. We could not be more thrilled to share their day with you.

 

Cascading Florals

It is no big secret that we see a lot of weddings. And, we can confirm- they are never the same! Every wedding has its unique touches and things that make it special. One piece of Paola and Carlos’ day we cannot get over is the insane cascading florals on their tables. When their florist started creating the pieces on the end of the Farmhouse tables- we could not believe it. Such a stunning idea, especially paired with the candles. The combo of the two was the most cozy, elegant and romantic ambiance. Unbelievable!

 

Just a little Twist 

Paola and Carlos had some stunning and classic elements that they put a little twist on. Instead of a first look or first touch, they kind of combined their private vow reading with a first touch. They wanted to save the “first look” for when she walked down the aisle but wanted to take the time to share vows privately!

After ceremony, the happy couple decided to join cocktail hour after they wrapped up with photos. Weirdly, this isn’t something a lot of people do, and it is such a fun change of pace. It gives the couple time to say hello to everyone, snack on some hors’ d’oeuvres and enjoy a little time outside before the party begins!

The last thing we are excited to point out is their amazing dessert options! They did have the traditional, beautiful cake which was an absolute hit. Beside it they did a champagne tower, but once they got the waterfall of champagne started they topped it with a red wine. It ended up being beautiful! For an extra dessert option, they had a churro station and a little hot chocolate bar. Basically, there was something for everyone!

The Finishing Touches | Victoria and Grant

Happy, happy, happy is the best way to describe Victoria and Grant’s big day! Not only were they smiling from ear to ear all day long, but so was everyone who came through our doors. It was truly a beautiful day with some of the most unique and thoughtful finishing touches- you will LOVE it.

 

The Finishing Touches

Victoria and Grant had some of the most beautiful details throughout their wedding. It was really all of their “finishing touches” that brought their ceremony and reception to life. Starting with Victoria’s dress! Have you ever seen a dress like hers?! So stunning and unique, and really ended up being a part of their decor and tying everything together.

At reception there were some stunning details we want to point out! Firstly, the glassware for dinner. The plates are INCREDIBLE. So fun and whimsical! Especially paired with the butterfly place cards and unique centerpieces. Several of the centerpieces were stacks of books with florals on top.

We also were loving their seating chart! Not only was it so thoughtful to have handwritten notes for each guest, but we loved the romcom nod of, “you’ve got mail!”

Lastly, Victoria wanted to set up a table of “punch, mints and nuts” as a nod to her Dad. She wrote a little story about how growing up her Dad would always say to her that when she got married all she would need is “punch, mints and nuts.” Slowly, over time she would barter and he would add things to her hypothetical wedding. Once her actual wedding day came around she wanted to have a little nod to their hypothetical wedding planning they did growing up. So sweet!

Coffee, Coffee, Coffee!

We have never had a coffee cart here that didn’t have a line! There really are very few things more popular at a wedding than coffee. Even if you want a coffee bar in addition to a regular bar, your guests will LOVE it. However, lately we have been having quite a few weddings with no alcohol. A really common question we get is, “What do we do instead?” Coffee cart is always a good option! You can still do signature drinks to personalize the experience, and you (and your guests) will be thankful for the boost after a full day!

Beauty in the Details | Lauren and Bradley

Well, Happy Fall everyone! Today we have such a sweet and dreamy couple’s wedding day to share with you all. Lauren and Bradley, Mr. and Mrs. Snyder, if you will… had a day full of beauty! They were so present and really took the time to soak in every second of the day.

Beauty in the Details

We have to talk about the details of this amazing day! This wedding was FULL of jaw-dropping details—first, the bridesmaids and the flower girl’s dresses. Come on. They were such a beautiful mix of matching and mixed-matched. They had a million beautiful details throughout the reception space, but some really stood out to us. First off, the custom dance floor!! SO good!! Their bar menu was a fun spin on the traditional framed signs that usually sit on top of the bar. The last thing we want to point out is their head table! WOW.

The candle tablescape added such a beautiful ambiance and was simple, classic and warm. Especially, when the lights dimmed for the party!

 

The Party

After Lauren and Bradley were officially pronounced Mr. and Mrs. you could feel the party brewing. Everyone was itching to tear up the dance floor, and boy… they did not disappoint. There were ties everywhere, people lifted and even some ripped pants. And, we gotta say… now that we are 4 years into weddings… we really wish we had been keeping a tally of all the pants ripped at a French Farmhouse Wedding. We are pretty sure the number would be impressive, and hilarious.

We have a mini throwback for you all today! This beautiful wedding was back in March. Everyone meet Alexa and Blake, the new Mr. and Mrs. Williams! We loved their big day, and loved seeing where they chose to add their personal details.

 

First Look x2

Wedding days are full of magical moments! We know that everyone wants their wedding day to be unique, and to have moments that nobody else has had. However, there are a few that everyone does, because they are just too darn magical. One of them is the First Look! It is the sweetest to see the groom’s reaction when he sees his bride for the first time. That moment never disappoints, and everyone loves looking back on the photos. Alexa did a little spin on the first look, and had one with her groom, but also her brother!

It was such a sweet moment between these two siblings, and lifelong friends. Plus, what a fun way to get siblings involved.

Personal Touches

There are a million ways to make your wedding day unique, and to add touches that reflect your personalities and your life as a couple. One thing you can do is have food that you LOVE. We have seen a lot of different catering options, and the best ones are the ones that are just downright delicious. Cocktail hour started with the prettiest “Williams” charcuterie board, which is always a win. For dinner Alexa and Blake had pizza for their guests, and on their buffet tables they had custom signage for each pizza. SO cute, and who doesn’t love pizza?

How many times can we say that we are LOVING our summer weddings?! Every time we get an album back, we just can’t wait to share it!! Today our couple is Leia and Trey, the new Mr. and Mrs. Clapp. We could not be more exited to share their big day with you.

 

Summer Brides

We all know that getting ready photos are a moment for the gals! Our bride, typically, has her best girls in matching/ coordinating pajamas for photos (and comfort). Then, the bride is in a white version of the same pjs or just a white outfit. Something comfortable to get dressed in and hang out wearing all day, but also something cute for photos! We are obsessed with Leia’s getting ready fit, and how her *stunning* robe matches her veil. What a beautiful and fun touch to add!

 

A Moment for the Florals

It would be horrible to not take a moment for the florals at Leia and Trey’s wedding. Everywhere you looked there was an incredible floral arrangement. The arches at ceremony are SO amazing, and were repurposed to the greenery wall on the porch for photos. Then, there is the sweetheart table. WOW. What a moment for the bride and groom. Followed by the cake table… come on. We are also loving the florals hung over the guests tables. Such a fun and unique way to have a stunning floral centerpiece, while still keeping the tabletop open for guests to be able to see each other.

Woohoo! Everyone meet the brand new Mr. and Mrs. Crump! Allison and Michael are officially married and they really created a special, stunning day for themselves and their guests. We loved being a part of it, and we LOVE that we are already getting to relive it through their album.

 

Special Day, Special People

It is so hard to describe how fun, and special, wedding days are! Allison and Michael are no exception, their wedding day was a BLAST. They really picked their favorite people to surround them all day, and it absolutely shows! Every wedding day has special moments, and we have grown to be extra attached to certain traditions. One that we never get tired of is when the bridal party prays over the couple! It is so beautiful to watch, and you can feel everyone take a breath and reset before the ceremony gets started. It is one of those moments that will always be magical for the couple to look back on!

 

Details and More Magical Moments

Staying in the same vein of special moments… another one that we LOVE seeing the photos of, is when the bride and groom take the walk back to the venue together. This is after the ceremony, after their bridal party has already made it back and it is, typically, just them and their photographer. After a long day, they are getting to take a stroll together as Mr. and Mrs! It is so special.

Once this party got started, there was no stopping it! Everyone was on the (custom!!!) dance floor, and having the time of their lives. One sure sign of a good party is when the groomsmen put their ties around their heads. They just can’t help themselves!

Congratulations Mr. and Mrs. Crump! We are so happy for you, and thrilled that you are a French Farmhouse Couple!
